How Monitor Link keeps council data safe

Monitor Link gives the AI assistant your council already uses controlled access to Monitor CRMS. This page sets out the controls, who looks after what, and what the assistant can do.

Within your IT and security strategy

Monitor Link doesn't bring its own AI model. It gives the assistant your organisation already uses controlled access to Monitor CRMS. That access is governed by your sign-in policies and by the agreements you already have with your AI provider.

  • Your existing sign-inUsers sign in with Microsoft Entra ID (including Copilot single sign-on), Google, or their Monitor CRMS password with multi-factor authentication. You decide which methods are allowed.
  • Scoped to your councilEvery request is tied to the signed-in user and their council. The assistant can't select a different council or database.
  • Your Monitor CRMS permissions applyUsers only see what they can see in Monitor CRMS: module access by role and department, departments that hide their engagements, and confidential notes.
  • Off until you switch it onAccess is enabled per council. It starts read-only, and writing to Monitor CRMS is only turned on once you approve it.
  • Human in the loopNothing is saved until the user confirms a preview. Unconfirmed drafts expire after 2 hours. Nothing is deleted: a removed note is archived, as in Monitor CRMS.
  • Saved like Monitor CRMS savesChanges are saved as the user, with the same history and change logging as Monitor CRMS itself.
  • Fully auditedEvery sign-in and every action the assistant takes is recorded in an audit log.
  • Access ends when you say soWhen you deactivate a user in Monitor CRMS, their AI access stops within a minute. Access tokens last one hour.

Shared responsibility

Using AI with council data is shared between us, your council and the AI provider you choose. This is who looks after what.
